Monthly reporting
Every month the preceding months performance should be communicated to the management and the head office in the Netherlands. The past reporting structure was limited and was not suitable to convey useful management information. To end this, a new reporting structure has been developed. In addition to this standard report they like to set up additional ratio performance indicators which provide good and easy to access management information. The idea is that focusing on key financial ratios allows for an easy and quick performance evaluation. To allow us to benchmark these figures with past performance, it is essential to also extract similar data from the ERP system retrospectively over 2009. Additionally this information should allow us to construct a package of key financial multipliers that can be used by our sales team in the field. To elaborate: If our sales personnel is required to provide on the spot quotations to customers they can use these multipliers to come to a fairly accurate estimate. This can partly improve the effectiveness of our sales personnel.

Foreign exchange and bank negotiations
The Euro/CNY exchange rate is very volatile. Since this company is a exporting company with most of its revenue in EURO and most of its costs in RMB this poses a serious FX risk to the company. In the past this risk has been ignored, because of time constraints. Additionally the FX rate volatility went both ways, thereby evening out the losses and gains over the FX rate in the long run. However, 2010 FX forecast are negative; and pressured by the crisis in Greece and other Euro countries has already suffered a severe FX rate loss in the first two months of 2010.
To this end this, the management is seeking to set up a FX hedging system. Negotiations with several Chinese and international banks were conducted to evaluate the options. Unfortunately Chinas financial climate is not fully developed yet and several common Western approaches to this problem had to be ruled out. The remaining options are more time consuming and require a significant administrative effort. It is essential that this system it set up with great care, since any error can inflict great losses. Besides hedging the exchange risk on running orders, quotations for new orders should also receive the necessary price adjustments in relation with the exchange rate fluctuations. For the latter it is imperative to set up clear communication towards their customers outlining their newly developed policies on this matter. Additionally they should be able to provide them with clear financial calculation motivating possible price adjustments.

In 2006 is de EVD economische voorlichtingsdienst begonnen met het treffen van de voorbereidingen voor de deelname aan op de World Expo 2010 in Shanghai, die van 1 mei tot en met 31 oktober 2010 gehouden wordt. Doelstelling van de deelname aan de Expo is Nederland te promoten en daardoor de economische ontwikkeling te stimuleren.
Het Nederlandse paviljoen, Happy Street genaamd, is 1 van de 192 inzendingen aan de Expo. Nederland zet hoog in met dit paviljoen, men wil bij de top 10 van meest spraakmakende paviljoens van de Expo behoren en een bezoekersaantal van 7 miljoen bezoekers genereren.
Opdracht
Omdat de organisatie en kwaliteit van de Nederlandse inzending na afloop geëvalueerd en beoordeeld wordt, zijn de stappen om tot het eindresultaat te komen vastgelegd in diverse rapporten. Deze rapportage omvat ondermeer de doelstellingen, realisatie, evaluatie en besluitvormingsprocessen van het project. Deze rapportage is zeer omvangrijk en het is de opdracht aan de stagiair om deze informatie op relevantie te selecteren, te categoriseren en te bundelen tot 1 rapport. Het rapport heeft twee versies, een voor intern gebruik en een voor extern gebruik.
Het externe document heeft een voorlichtende functie en geeft een overzicht van de activiteiten voorafgaand, tijdens en na de Expo. Het interne document geeft hiernaast ook een evaluatie van hoe het project van de organisatie van de expo verlopen is en kan bij toekomstige projecten leidraad zijn om processen te optimaliseren. De opdracht van de EVD voor de stagiair bestaat dus uit het rangschikken, categoriseren en indelen van alle beschikbare informatie, zodat het eindrapport tot stand kan komen.
De stagiair gebruikt deze informatie ook om te verwerken in zijn scriptie, waarbij de onderzoeksvraag toegespitst is op hoe het besluitvormingsproces verlopen is. Het onderzoek zal gestart worden op het kantoor van de EVD te Den Haag en later op locatie in Shanghai worden voortgezet. De doelstelling van de opdrachtgever is om tot een eindrapport te komen en de stageopdracht betreft een evaluatie van de besluitvormingsprocessen.

produce according to the REACH Regulations, an extensive scan of every factory needs to be made.
